Finding the right Criteria

Have you ever wanted to search for a specific list of clients from your data base? Xplan’s Criteria Search function allows users to create their own custom search parameters, which can then be saved and used for future reporting. It can also be used as a quick snapshot list to gauge the scale of clients based on your search parameters.
What are the common search parameters?
The most common search Criteria used are determining Client Birthdays, Client Reviews, Opt-in/Consent Dates, Client Categories/Service Packages or Clients with/without email addresses.
How can I utilise the search results effectively?
There are a number of ways to efficiently and effectively take advantage of the search results once your Criteria has been created and saved. These options can also be used as a method of data maintenance and the cleanliness of your database:
General Reporting – When the search results are generated, you can then generate reports based purely on the clients that were produced. EG Xmerge reports, Management Reports IPS/Portfolio Reports.
Investment/Insurance – Can search for any clients that have a Portfolio Value over/under a specific product provider, FUM, or underlying investment option. The same can be done for insurance policies.
Bulk data update (Requires specific permissions) – Xplan’s “Modify All” function can be used in conjunction with your Criteria Search to apply a bulk change to a single Xplan field for all clients identified in the search results. E.g., all clients with the previous FSG version can be bulk updated to your new FSG.
Bulk Emails – You can search for all clients that have an email address as well as clients that have a review due in the coming weeks/months in the same search parameters, then emailing those clients in bulk.
Scheduler – The saved searches you create can also be applied to Xplan’s “Scheduler” function, which can perform automated actions such as recurring reports as well as bulk emails, commonly used for sending Birthday emails to clients.
Xport reports – Similar to the “Scheduler” function, you can also link your saved search to an “Xport” report so you don’t have to re-apply your search criteria each time, this way you can generate the reports with only a couple clicks.

By incorporating at least one of the above methods via Xplan’s Criteria Search function, it can be beneficial to the overall data maintenance and cleanliness of your database, as well as providing client engagement with minimal effort.
